How to audit your account settings and billing
By proactively auditing your account settings and billing, you can avoid unexpected charges, ensure you’re on the most suitable plan, and keep your account aligned with your marketing goals. Action steps to complete your audit
With the foundational knowledge of how to audit your account settings and billing information, complete the following steps to ensure optimal management and efficiency of your account:
Modify team members’ permissions
Start by ensuring your team members have the right permissions for their roles. To do so:
- Navigate to your account settings.
- Click on your account name.
- In the bottom left corner, select Account Settings.
Action needed:
- Review user roles such as Owner, Admin, or Manager, and make sure their permissions align with their responsibilities.
- Adjust roles as needed to ensure everyone has the access they need without overstepping their boundaries.

Manage profile count and limits
To avoid disruptions and manage costs, keep an eye on your profile limits. Klaviyo charges monthly, with separate plans for profiles, emails, SMS, reviews, and CDP. Familiarize yourself with each plan to manage costs and stay within budget effectively.
Action needed:
- Distinguish between active profiles (those receiving emails) and suppressed, unsubscribed, or deleted profiles (those not receiving emails) in the Profiles tab.
- Review your profile counts within Settings > Account Usage to ensure you stay within your plan’s limits. This helps prevent overages and ensures efficient profile management.
Note: You canupgrade or downgrade your plan based on your needs. Remember that changes will take effect in the next billing cycle. You can also turn on and off auto-upgrade to better control your billing.
Track channel-specific usage
Stay within your plan limits and manage costs by monitoring your channel usage (e.g., across email, SMS, and reviews).
Action needed:
- Go to the Account Usage tab to view detailed insights into channel usage, including SMS credits used. In particular, you can:
- Review metrics such as total emails sent and messages sent for both campaigns and flows.
- Compare your usage data against your plan’s limits to avoid unexpected charges and manage your subscription effectively.
Review key integrations
Finally, verify that all critical tools and integrations are properly set up and functioning.
Action needed:
- Go to the Integrations tab in your account settings to review the status of each integration.
- Confirm that your essential tools are connected and working seamlessly with Klaviyo, contributing effectively to your marketing strategy.
