Prioritize the queue intelligently

Learn how Helpdesk helps lean customer-service teams resolve conversations faster and more personally, while turning support data into opportunities to improve loyalty and drive growth.

Consolidate every customer conversation

When you manage customer questions through email or scattered social channels, it's easy for messages to slip through the cracks. Point solutions can handle individual conversations, but they don’t give you the full picture, like order history, past interactions, or predictive insights.

Without that context, it’s tough to deliver the fast, personalized service your customers expect. That's where Helpdesk comes in.

Klaviyo Helpdesk brings all those conversations into 1 central place, connected to your customer data. Its built-in features allow you to organize and prioritize tickets, route them to the right agents, and save you time, so you can build customer loyalty with every interaction.

Understanding Helpdesk

See how small teams and solopreneurs can transform their customer service by moving from scattered inboxes to 1 central Helpdesk.

Consider what makes a ticket a priority

Not every ticket should be treated the same. The right order helps your team respond faster, support the right customers first, and make better use of the customer context Klaviyo provides. Click through the gallery tabs below to learn what to consider when prioritizing your queue.

Urgency

Consider how quickly the customer needs help and what could happen if they have to wait.

Example scenarios:

  • They can’t access or edit a subscription.
  • The issue is time-sensitive.
  • A delay could harm trust or cause them to pause marketing.

Prioritize issues that could have an immediate impact on the customer’s experience or business.

Customer value

Consider how significantly the issue affects the customer’s overall experience.

Example scenarios:

  • They have multiple unresolved questions across channels.
  • They can’t resolve the issue using available help resources.

Prioritizing these tickets can reduce frustration and prevent a difficult experience from getting worse.

Business value

Consider how the interaction could affect retention, revenue, or long-term growth.

Example scenarios:

  • The customer is a high-value VIP.
  • They are a recent buyer likely to purchase again.
  • The conversation reveals a revenue opportunity.

Use business context to recognize when a timely response could strengthen the customer relationship.

Practice prioritizing tickets

Now it’s time to apply what you’ve learned. How would you order the queue? Sort each ticket into high, medium, or low priority based on its urgency and potential customer or business impact. You might think about this framework while prioritizing:

  • High: The customer is blocked, facing a service outage or significant business impact, or reporting a security, payment, or compliance risk. No reasonable workaround is available, or the issue is time-sensitive.
  • Medium: The issue affects a customer’s normal workflow but does not fully block them. A workaround exists, or the issue requires timely investigation during normal support hours.
  • Low: The request is informational, a how-to question, minor inconvenience, cosmetic issue, or general feedback with limited immediate impact.
