Enable your team with the correct permissions
In Klaviyo, your permissions and access to tools will vary based on your user role. Let's run through the specific tools that each user has access to so you can assign the appropriate permissions to each member of your team. For account owners and admins, understanding these roles will help you properly manage your business, protect your account’s security, and set yourself up for success. Build out a team in Klaviyo and add the appropriate users based on the responsibilities they will have in your account.
Note: Only account owners and admins can manage and update static and custom user roles.

Static user role details
Dive into the specific permissions allotted for each static user role in Klaviyo. As you explore these 7 default roles, you’ll gain a better sense of how to grant your team members the right access to your account.

Owner
The account owner is likely the person who created the Klaviyo account; however, you can transfer ownership to another user if needed.
An account can only have 1 owner with permission to:
- Access the full account
- Edit and close an account
- Create private API keys
- Edit the email domain authentication page
Over time, the owner will receive important account notifications from Klaviyo and can edit who in their company receives billing-related notifications.
Note: Owners cannot be deleted from an account.
Admin
An admin has complete access to an account, similar to an owner, but with minimal restrictions. Add a trusted admin to your account to oversee and maintain your account, without giving them full access to close the account.
Admins have full account access. An admin has permission to:
- Edit account details (such as changes to any paid plan, domain, or hosted pages)
- Add or delete users
- Cancel a paid subscription from billing
- Create private API keys
- Edit the domain authentication page
- Edit who in their company receives billing-related notifications
- Access the Reviews tab
Note: Admins cannot fully close an account (e.g., disable an account and remove all users).
Manager
Managers have access to all core Klaviyo features, but have some limitations in the flows, lists, segments, and analytics areas. Add a manager role to assist with account operations.
Managers have permission to access the following tabs:
- Campaigns
Cannot export any recipient activity. - Flows
Cannot export any recipient activity. - Reviews
- Sign-up forms
- Audience
Cannot export any active or suppressed email addresses from Klaviyo. - Analytics
Cannot export analytics except custom reports. - Settings
Can create private API keys and edit account details (such as change to any paid plan, domain, or hosted pages).
Cannot edit or delete users, downgrade to a free plan, or cancel the account.
Analyst
Analysts have access to analytics, segments, and reporting. Add this role to your account to help you gain insights into your marketing performance. Simplify this user’s access to only allow reporting and analytics functionality.
Analysts have permission to access the following tabs:
- Campaigns
Can only view the list of draft campaigns and details for sent campaigns. - Flows
Can only view analytics, export analytics, and preview flow emails. - Sign-up forms
Can only see form analytics.
Cannot access the Form Builder or A/B test setup. - Audience
Cannot create, update, or delete profiles or access the Messages tab (i.e., cannot see which messages were sent, skipped, or scheduled for a profile). - Analytics
Campaign coordinator
Campaign coordinators can create and send campaigns as well as create and edit templates. Add this role to your account to empower a team member to oversee the creation and sending of marketing messages without giving access to account management.
Campaign coordinators have permission to access:
- Campaigns
- Flows
Can only edit flow details (i.e., name and tag), edit email content, and preview flow emails. - Audience
Can only access Lists & segments (can only view segment definitions or campaigns sent to specific lists and segments. - Content
Can only access Templates, Products, and Coupons. - Settings
Can only access consent pages and email domain page.
Content creator
Content creators can create and edit templates. Add this role to your account to empower a team member to assist in scaling your content production.
Content creators have permission to access:
- All the Content tabs and consent pages
- Campaigns (view only access)
Cannot schedule or send campaigns, edit templates, or see analytics from sent campaigns. - Lists and segments (view only access)
- Flows
Can only edit flow details (i.e., name and tag), edit email content, and preview flow emails. - Sign-up forms
Cannot create or delete forms, see analytics, publish any changes, publish A/B tests, or publish changes to variants in a running A/B test.
Support
Support representatives have access to Conversations, which will be their default landing page upon logging into Klaviyo. Add this role to your team to provide essential permissions to your support representatives while preventing them access to marketing functionality.
Support users have permission to access the following tabs:
- Conversations
Can view profile information and use the Conversations chat console.
Cannot adjust text message settings. - Profiles
Can only see the profile list view, profile details, activity feed, contact information, and channels. - Images & brand
Cannot upload or edit images and fonts.
Custom user role details
When creating custom user roles, you can get more granular with what specific users can and cannot do in your Klaviyo account. When you create custom user roles, you configure for both the product area and level of access (view, export, edit or publish).
Product area
These are the tools and areas within Klaviyo that a user can or cannot access.
Here are the following product areas you can choose from when assigning custom user roles:
- Content
- This includes dashboards, campaigns, flows, sign-up forms, templates, products, Customer Hub content, analytics, conversations, and intelligence data
- Profiles, lists and segments
- Billing
- Account settings
- User management
- Data platform
- API Keys and integrations

Permission set
Think of these as your access scale to each product area: how little or how much can they do with a given tool in Klaviyo?
You can select from the following permissions:
- View
- View and export
- Edit
- Publish

Manage user roles in your account
Add and manage permissions so each user has the necessary access to contribute to your account operations. Click on your organization name and then navigate to Settings > Users.
From the Users tab, you can:
- Add new users (if you are an owner or admin).
- Delete a user by clicking the X icon to the right of their role.
- Monitor the setup progress of invited users.
- Resend invitation emails to users who have not completed setup.
- Manage a user’s permissions and review their latest login activity by clicking on their name.
